Overview
The Australasian Stem Cell Registry (ASCR) is an online database recording and reporting patient data including adverse events. The registry is managed by an Etics Committee appointed by the Adult Stem Cell Foundation (ASCF) which is made up of suitably qualified doctors and researchers.
The registry is open to approved contributors/practitioners. Interested parties are invited to fill out an application form before access can be granted. Approved applicants receive an email with details about creating their unique login to the system.
Two Factor Authentication (TFA) protects the registry. This means that all practitioners must provide a 6 digit access code that is sent to their registered mobile phone number after successfully logging in with their email address and password for the first time. Two factor authentication is a secure login method, requiring that only the registered practitioners gain access to the data held on the registry. SMS codes are remembered by the system for 7 days, after which a new SMS code will be sent on subsequent login. Alternatively, if the system does not recognise the computer from a previous access attempt, another SMS code will be sent for confirmation on successful login.
Entered data is never stored with patients' or practitioners' personal details. The registry assigns a unique code ID (Identifier) to a practitioner that can be used as a reference when he/she wishes to communicate with other practitioners.
If a practitioner wishes to contact another practitioner regarding particular records, it is done through a special contact form on the registry's website. This form sends the request through to the practitioner who ‘owns’ the records. The initial communication process is totally annonymous and It is up to the recipient of the communication request to respond or not.
Registry users can manage all data relating to their own records but have no access to any other users' records, apart from a limited preview for reporting and initialising communication.
The registry database is hosted on a secure server with no third party access to the information. As it changes, data is backed up to a secure area that only can be accessed by site management. The designers and hosting platform are well versed in data security practices and are entrusted with sensitive data for many national organizations.
